WebMax Labs LLC (“WebMax,” “we,” “us”) operates WebMax Realtors, a website-hosting and customer-relationship platform for real estate agents. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to webmaxrealtors.com, every REALTOR® site we host on a *.webmaxrealtors.com subdomain or connected custom domain, and the WebMax Realtors CRM.
Two groups of people interact with WebMax Realtors, and this policy covers both:
- REALTORS® (our customers) who create an account and sign in to the CRM.
- Site visitorswho submit a contact form, scan a listing QR code, or chat with the on-site assistant on a REALTOR®’s site.
Information we collect
When a REALTOR® signs in with Google
We use Google Sign-In (OAuth) for REALTOR® accounts. When you sign in, Google shares a limited set of profile information with us: your name, email address, profile picture, and Google account identifier. We use this only to create and secure your account and to identify you inside the CRM. We request only the basic email and profile scopes. We do not request access to your Gmail, Google Drive, contacts, calendar, or any other Google service.
Information REALTORS® provide
Account and business details (such as brokerage, phone number, branding, logo, and bio), the listings and content you publish, and your platform settings.
Information collected from site visitors (leads)
When someone contacts a REALTOR® through a site we host, we collect the information they submit: name, email address, phone number, the message they send, and which listing or page they came from. To detect spam and abuse, we also store a one-way hashed version of the visitor’s IP address (not the raw IP) and the browser user-agent string.
Conversations with the AI assistant
REALTOR® sites include an AI assistant that answers buyer questions and helps draft replies. We store these conversations so the assistant has context and so REALTORS® can review them. Message content is sent to our AI model provider to generate responses (see Service providers below).
Cookies
We use a single session cookie to keep REALTORS® signed in to the CRM across our domains. We do not use third-party advertising or cross-site tracking cookies.
How we use information
- Operate, maintain, and improve the platform.
- Authenticate REALTORS® and secure accounts.
- Deliver leads and notifications to the REALTOR® who owns the site.
- Power the AI assistant and email drafting features.
- Send transactional and notification email, such as a new-lead alert.
- Detect and prevent spam, fraud, and abuse.
- Comply with legal obligations.
Google user data
WebMax Realtors’ use of information received from Google APIs follows Google’s Limited Use requirements. The Google account data described above is used solely to provide and improve sign-in and account features. We do not sell it, we do not use it for advertising, and we do not share it with third parties except as needed to operate the sign-in feature (our authentication provider) or as required by law.
How we share information
We do not sell personal information. We share data with service providers that help us run the platform, and only to the extent they need it to perform their service:
- Supabase: database, authentication, and file storage.
- Vercel: application hosting, content delivery, and request logs.
- Anthropic: AI model provider that processes assistant and drafting messages to generate responses.
- Resend: delivery of transactional and notification email.
- Google: sign-in (OAuth) for REALTOR® accounts.
We may also disclose information if required by law, to enforce our Terms, or to protect the rights, safety, and security of our users or the public.
Data ownership, export, and deletion
REALTORS® own the leads, contacts, content, and conversations created through their site. You can export all of it at any time as CSV files or a full data bundle from inside the CRM, with no involvement from us. If you cancel, we provide a final export plus a static copy of your site so you can move it anywhere.
Data retention
We keep account and site data for as long as the account is active. When you delete data or close your account, we remove it from our active systems within a reasonable period, except where we must keep it to meet a legal obligation. Backups are purged on a rolling schedule.
Your choices and rights
You can review and update most account information directly in the CRM. To request access to, correction of, or deletion of personal information, including a request from a site visitor whose details were collected as a lead, email privacy@webmaxrealtors.com. We will respond within a reasonable time and as required by applicable law.
Security
We protect data with encryption in transit (HTTPS) and at rest, tenant isolation so one REALTOR®’s data is not accessible to another, and least-privilege access controls. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security.
Children’s privacy
WebMax Realtors is intended for real estate professionals and adult buyers and sellers. It is not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact us and we will delete it.
International users
We operate in the United States, and the data we collect is processed and stored there. If you access the platform from outside the United States, you consent to processing your information in the United States.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the date at the top of the page. If the changes are material, we will provide a more prominent notice. Continued use of the platform after an update means you accept the revised policy.
